Approvals

Approvals allow you to define the steps in the approval process for the review of a record and submitting that record to another team member, whether its a supervisor or a manager. To check the status of the approval for a record, open any record that allows approvals, and you will see: approval status, who it was submitted to and on what date.

Submitting a record for approval
Open the record that you wish to submit for approval.
  1. Click the approval button (Submit, Deny, Approve, etc.) on the top righthand side of the toolbar.
  2. The approval screen will appear
  3. Choose which user that you want to submit this record to
  4. Click Save & Close
Set a user's default supervisor
You can submit a record for approval to any user within your organization. However, if you want the approvals to default to a specified supervisor, you must set the supervisor for the employee. To change this setting:
  1. Go to SYSTEM Menu -> ADMINISTRATION Menu
  2. Click on My Company
  3. Click on Employees tab
  4. Double-click an employee
  5. Choose the Supervisor
  6. Click Save & Close
Digital signatures on reports
When a report is approved, the users who submit and approve the record will have their digital signatures appear at the end of the report. Make sure that each user of the system has a digital signature, otherwise reports will be required to be signed manually.
  1. Go to SYSTEM Menu -> ADMINISTRATION Menu
  2. Click on My Company
  3. Click on Employees tab
  4. Double-click an employee
  5. Click the Lookup button and select a signature image (.jpg, .bmp, .gif). Recommended size: 375 pixels wide by 50 pixels height.
  6. Click Save & Close
Checking sent/received approvals
If you regularly approve reports from other users under your management, you can check the approvals that require your attention. This will display any record types in the system that have been submitted to you.
  1. Go to SEARCH Menu -> APPROVAL Menu
  2. Click on Received tab
  3. Click Search button in the toolbar
  4. Double-click a record in the list
  5. Click the approval button (Submit, Deny, Approve, etc.) on the top righthand side of the toolbar.
